Recurrent Services List
Overview

With MobiWork's recurrent services you can unlock the full potential of your work orders, users, and customers. This versatile feature allows you to automate and customize the scheduling of your work orders. Whether you are managing work orders for assets, customers, or users, MobiWork's recurrent services give you complete control.

Easily organize your services by type, set up automatic schedules, and even edit multiple recurrent services at once. The intuitive interface lets you effortlessly view, edit, add, and manage all your recurrent services in one convenient location. This section will guide you through the Recurrent Services feature, making it easier than ever to keep your business running smoothly and efficiently.

How to Access the Page

You can access the Recurrent Services section by hovering over the Recurrent Services feature from your MobiWork menu and clicking on the "View Recurrent Services" option:

Recurrent Services Layout

The Recurrent Services feature page, is where you will be brought to once you access the Recurrent Services feature; from this page you can see all your recurrent services summarized on one page.

Below is a list of the main features that are located on the "All" tab page:

  4. All Columns

  5. All Right-Click Actions

  6. All Individual Row & Actions

  7. Results per Page

Search Area

You can type in the search bar (free-text search) to locate a specific recurrent service. Once you click in the search bar, the search drop-down menu will automatically appear. You can use the search drop-down menu or continue typing your own search parameters:

When typing in the search bar, the drop-down menu will provide some helpful search criteria. With free-text search you will also be able to search by:

  • Customer's name.

If the number of recurrent services surpasses the number range, the subsequent number of recurrent services will be found on the next page:

To navigate through these pages, use the First, Previous, Next, and Last buttons located towards the bottom of the Recurrent Services section.



Saved searches are a powerful search tool where the search-criteria has been saved for future use; to access the saved searches drop-down, click in the search bar. The default saved search for Recurrent Services is the "Overdue: Now" search.

These saved searches will appear in the drop-down menu and can also be used for dashboards and reports.

By default, MobiWork provides several saved searches for you to use, which are organized by status and date (e.g., Overdue, Warning, etc.):

The list of statuses that can be used in predefined searches are below:

  • Overdue

  • Warning

You can access any of these saved searches by clicking on the "Search Area" and selecting your desired "Predefined Saved Search" from the drop-down menu.

If you would like to view all your recurrent services, click on the "Show All" option from the drop-down menu:

Please note that once you name a new saved search, you will be unable to rename it (instead you would need to delete your saved search and create a new one).



To create a new saved search, select the "Create a New Advanced Search" option from the search menu:

After clicking on "Create a New Advanced Search," a pop-up window will appear where you can enter your data in the appropriate fields. If you would like to exit from this pop-up window you can click on the esc button from your keyboard.

Please note that once you name a new saved search, you will be unable to rename it (instead you would need to delete your saved search and create a new one).

The data used to create a saved search can also serve as the basis for generating reports in MobiWork.

Once you have finished inputting the required information, you can save the search, make it available to all users, or make it your default search:

Further definitions for all the terms in the New Search pop-up window can be found below:

Name:Description:
"ID" The ID of the recurrent service.
"Customer" The customer associated with the recurrent services.
"Category" Specifies which timeframe contract (e.g., yearly, quarterly, etc.) that the recurrent service falls under.
"Status" The status of the recurrent service (e.g., Warning, Overdue, etc.).
"Creation Date" The date that the recurrent service was first created.
"Last Modified Date" The date that the recurrent service was last updated.
"Last Service Date" The last time that the recurrent service was performed.
"Enabled" Allows you to view enabled recurrent services, or recurrent services that have not been enabled, or all recurrent services regardless of status.
"Work Order Type" Identifies the type of work order being completed by the user. The work order type is selected from the drop-down when the user is adding a new work order.
"Frequency" How often the recurrent service should be completed.
"Assigned To" The user assigned to the recurrent service.
"Need to Publish" Shows if the recurrent services are awaiting publication.
"Page Size" The number of results per page.
"Sort By" Sorts your search in ascending or descending order by: ID, category name, and customer name.
"Save This Search" Allows the search parameters to be saved under a name to be reused in the future.
"Search Available to All Users" Allows the search to be available to all users.
"Default Saved Search" Sets the saved search as the default view when accessing the search feature in the future.


Any new searches that are added can be managed or edited in the Manage Saved Searches pop-up window:

To manage, edit, or remove any Saved Searches you can access the "Manage Saved Searches" option in the drop-down menu; the Manage Saved Searches pop-up window will then appear:

  1. You can add a new "Saved Search" by clicking the New Search button in the top right of the pop-up window.

  2. You can rearrange the order of the "Saved Searches" by clicking, then dragging & dropping the selected Search.

  3. You can edit, delete, or perform a search on a selected "Saved Search" by using the drop-down menu under the "Actions" column.

If you would like to easily close this pop-up window, you can click on the esc button from your keyboard.

Tabs

Tabs are located under the MobiWork logo. You can change the way that the information is displayed by clicking on the desired tab:

There are four tabs that you can toggle between on the Recurrent Services feature. They are the "All," "Customers," "Assets," and "Users" tabs.

All Tab

The "All" tab will display your recurrent services' ID, the category, the customer, and more:

The "All" tab is the default view when you click on the recurrent services tab. This tab lists all of the recurrent services, regardless of status and type.



All Tab Columns

In the "All" tab, the columns are structured to display specific data related to each individual recurrent service.

These columns are organized as: "ID," "Category," "Customer," "Repeat," "Last WO Date," "Next WO Date," "End Date," "Reminders," "Status," "Actions:"

The corresponding rows under the column headings will display the relevant data about the recurrent service.

The checkboxes (multiple selection area) found to the left of the "ID" column, will allow you to select either one or multiple recurrent services to manage, edit, remove, etc.:

By clicking the topmost checkbox in the column heading you will select all the recurrent services.

The "All" tab column headings are defined as:

Name:Description:
"ID" The ID of the recurrent service.
"Category" Specifies which timeframe contract (e.g., yearly, quarterly, etc.) that the recurrent service falls under.
"Customer" The customer associated with the recurrent services.
"Repeat" How often the work order for the recurrent service is scheduled to repeat.
"Last WO Date" The last scheduled work order date.
"Next WO Date" The next scheduled work order date.
"End Date" The final scheduled date for the work order.
"Reminders" Adds a reminder to the user regarding the recurrent service.
"Status" The status of the recurrent service (e.g., enabled or disabled).
"Actions" The Paper icon and the Individual Actions button can be found here; these buttons will allow you to perform actions on a recurrent service.

The "Status" column displays various icons that indicate the status of the recurrent service in relation to its warning or overdue dates. These icons represent the following conditions:

  • Red X Sign: The service has passed the overdue date.

  • Yellow Caution Sign: The warning period date has passed and the service is approaching the overdue date.

  • Green Checkmark: The recurrent service has not passed the warning or overdue dates.

If there are recurrent services that have been updated but not published, an Orange Caution Sign icon will appear next to the recurrent service. For more information on publishing recurrent services, please see the Edit Recurrent Services page.



All Tab Individual Actions

When selecting a recurrent service and clicking on the Individual Actions button (the three vertical dots under the "Actions" column) you will be able to view, edit, and more to the selected recurrent service.

Any actions that are done with the Individual Actions button will only apply to the selected recurrent service:

The Paper icon found under the "Actions" column will allow you to quickly access the View Recurrent Services pop-up window of the selected recurrent service:

The options that are displayed when you select the Individual Actions button are also available under the right-click actions.



All Tab Right-Click Actions

When right-clicking with your mouse on a recurrent service in the "All" tab, you will be able to view, edit, and more to the selected recurrent service.

The options that are displayed when you right-click on a recurrent service are also available when you select the Individual Actions button.

Any actions that are done with the right-click actions will only apply to the selected recurrent service:

Name:Description:
"View" Opens the View Recurrent Services pop-up window.
"Edit" Edits the selected recurrent service.
"Delete" Deletes the selected recurrent services. Please note that this is a nonreversible action, in which the recurrent service and all entities associated with it (including work orders, sales orders, invoices, etc.) will be deleted.
"Edit Last Service Date" Allows you to modify the date that the last recurrent service was performed.
Customer Tab

The "Customer" tab will display your recurrent services' ID, the category, the customer, and more:

The "Customer" tab displays all customer-type recurrent services. These types of recurrent services can include regular tasks like pool cleaning, lawn mowing, routine maintenance, and similar services.

The "Assets" tab displays all asset-type recurrent services. These types of recurrent services can include regular tasks like oil changes, tire replacement, filter changes, and similar services.

The "Users" tab displays all user-type recurrent services. These types of recurrent services can include recertifications for things like driver' licenses, security clearances, or other required qualifications.

Global Actions

The "Global Actions" section is located at the top-right of the "All" tab:

The "Global Actions" section includes:

  • The Plus Sign button which will allow you to quickly add a new recurrent service.

  • The More Actions button (represented by the three vertical dots) which will allow you to edit the last service date of selected recurrent services, import/export from excel, and more.

  • The Question Mark button which will direct you to the respective MobiWork Features page.

  • The Graduation Cap which will activate the Onboarding Assistant.

After clicking on the vertical three dots in the top-right corner, the More Actions drop-down menu will appear.

From the More Actions drop-down menu, you can select various actions that will help to manage your recurrent services.

These actions can be performed on a single recurrent service or on multiple recurrent services.

The complete list of actions found in the More Actions drop-down menu are defined below:

Name:Description:
"Edit Last Service Date" Allows you to modify the date that the last recurrent service was performed.
"Publish Selected Recurrent Services" Publishes the selected recurrent services so that the changes become official.
"Delete Selected Recurrent Services" Deletes the selected recurrent services. Please note that this is a nonreversible action, in which the recurrent services and all entities associated with it (including work orders, sales orders, invoices, etc.) will be deleted.
"Import From Excel" Imports recurrent services from Excel into MobiWork.
"Export to Excel" Exports the selected recurrent services to Excel.
"Settings" Directs you to the Settings page.
