View Recurrent Services
Overview

The View Recurrent Service pop-up window is your comprehensive window for managing and reviewing all aspects of your recurrent services. From accessing general information to overseeing associated work orders, this powerful tool provides everything you need at your fingertips.

You will also be able to easily add invoices, recurrent invoices, assets, parts, services, and more to your recurrent services. In the following sections, you will discover all the actions and details available within this pop-up window, empowering you to efficiently create and manage all of your recurrent services.

How to Access the Page

There are several different ways you can access the View Recurrent Services pop-up window in MobiWork.

The following sections demonstrate some common methods of how to access the View Recurrent Services pop-up window from your MobiWork web platform.



Recurrent Services List Page

The easiest way to access the View Recurrent Services pop-up window is through the Recurrent Services feature page. For more information on how to access the Recurrent Services feature page, please see the Recurrent Services List section.

Once you are on the Recurrent Services feature page, there are four different ways to access the View Recurrent Services pop-up window:

  1. Right-click on the selected recurrent services and click on the "View" option from the drop-down

  2. Select the Paper icon under the "Actions" column.

  3. Select the desired recurrent service ID.

  4. Click on the "View" option from the Individual Actions drop-down.



Customers

Another way you can access the View Recurrent Services pop-up window is through the View Customer pop-up window. For more information on how to access the View Customer pop-up window please see the View Customer page.

Once you are on this page select the "R. Services" tab:

All recurrent services associated with the customer will be displayed on this tab. You can access and manage these services through the following actions:

  1. Select the desired recurrent service ID.

  2. Right-click on the selected recurrent services and click on the "View" option from the drop-down

  3. Select the Paper icon under the "Actions" column.

  4. Click on the "View" option from the Individual Actions drop-down.

Overview and Layout

Once you open the View Recurrent Services pop-up window, you will be automatically directed to the "Summary" tab:

These features are available in the tabs and both the pop-up window and the full-size view:

Please note that if you would like to easily close this pop-up window, you can click on the esc button from your keyboard.

By clicking on the upwards arrow in the left-hand corner, you can expand the View Recurrent Services pop-up window so that it is full-size:

The full-size View Recurrent Services pop-up window can be seen below. All the tabs, buttons, and features are identical to how they would appear in the pop-up window:



Recurrent Services Tabs

The View Recurrent Services pop-up window has four different tabs; each tab displays different information regarding the recurrent service:

You can navigate to other tabs by clicking on the desired tab.



Recurrent Services ID

The Recurrent Services ID will be displayed towards the top of the View Recurrent Services pop-up window:



Upper Right Corner Actions

In the upper right corner of the View Recurrent Services pop-up window there will be five buttons that will allow you to perform additional actions on the recurrent service:

  1. The Pencil button will allow you to edit the recurrent service.

  2. The Refresh button will allow you to refresh the recurrent service's data to the most up-to-date version.

  3. The Individual Actions button will allow you to perform various actions, such as:

    • Editing the recurrent service itself or the last service date.

    • Disabling the recurrent service.

    • Editing the work order details of the recurrent service.

    • Deleting the recurrent service.

    • Viewing the Settings page.

  4. The Question Mark button which will direct you to the respective MobiWork Features page.

  5. The X will close out of the View Recurrent Service pop-up window.

Upper Right Corner Actions (Detailed)

The Recurrent Services' Upper Right Corner Actions can be found in the top-right corner of the View Recurrent Service pop-up window. These actions are located in this section, regardless of the tab you are on:

The Upper Right Corner Actions section includes:

  • The Pencil button will allow you to edit the asset.

  • The Refresh button will allow you to refresh the recurrent service's data to the most up-to-date version.

  • The Individual Actions button will allow you to perform various actions.

  • The Question Mark button which will direct you to the respective MobiWork Features page.

  • The X will close out of the View Recurrent Service pop-up window.

After clicking on the vertical three dots in the top-right corner, the Individual Actions drop-down menu will appear:

From the Individual Actions drop-down menu, you can select various actions that will help manage the specified recurrent service.

The complete list of actions found in the Individual Actions drop-down menu are defined below:


Name:Description:
"Edit" Allows the user to edit the specified recurrent service.
"Edit Last Service Date" Allows the user to edit the last service date of the specified asset.
"Disable" Disables the recurrent service.
"Edit Work Order Details" Edits the work order details associated with the recurrent service.
"Delete" Deletes the recurrent service
"Settings" Directs the user to the Recurrent Services Settings page.
Summary Tab

The "Summary" tab is the default tab that will appear once you open the View Recurrent Service pop-up window. This tab will display all the requisite information regarding the recurrent service; the information is also displayed in an accessible and practical manner.

The panels found on the "Summary" tab will summarize the data from the other tabs found in the View Recurrent Service pop-up window:

Where applicable, you can edit or add additional information directly in the "Summary" tab:

  • The Arrow icon (found in the top left of designated boxes) will open the corresponding tab in the View Recurrent Service pop-up window.

  • The Individual Actions button (the three dots) will display different options (e.g., view, edit, delete, etc.) depending on the corresponding panel.

  • The Paper icon will allow you to view the selected data in a separate window.

  • The Plus Sign icon will allow you to add additional recurrent services or notes.

  • The Trash Can icon will allow you to delete the selected data.


Summary

The "Summary" panel will contain the general recurrent service information, specifically the recurrent service category, how work orders are generated, the tags associated with the recurrent service, and more.

The information found in the "Summary" panel are described below:

Name:Description:
"Type" Recurrent services can fall under one of three types. These types include "Assets" (which can include regular maintenance, such as oil changes), "Customers" (which could involve tasks like pool cleaning), and "Users" (such as annual recertifications for things like driver' licenses, security clearances, or other required qualifications.)
"Category" Specifies which timeframe contract (e.g., yearly, quarterly, etc.) that the recurrent service falls under.
"Work Order Generation" The work order generation setting, which allows for automatic creation based on a specific time interval.
"Repeat" Specifies the interval in days at which the recurrent service is scheduled to repeat.
"Dates" Displays the Warning and Overdue days for the recurrent service.
"Create Work Order(s)" Specifies whether work orders are generated automatically and outlines the conditions for their creation.
"Auto-Renew" The auto-renewal date, which updates the end date of the recurrent service.
"Tags" Tags act as a visual indicator of a custom status or category, thus improving organizational clarity with the ability to identify specified tagged recurrent services at a glance.

Work Order Details (No Visits)

The "Work Order Details" panel provides an overview of the general information associated with the recurrent service, including work order type, planned duration, and more:

In this panel you will also be able to update the work order details of the recurrent service or add visits to the recurrent service; these actions can be done by clicking on the Individual Actions button in the top right corner. For more information on updating the work order details, please see the Edit Recurrent Service page. The "Work Order Details (Visits)" subsection will go into more detail regarding the various actions and views available when managing work order details and visits.

The information found in the "Work Order Details" (without visits) panel are described below:

Name:Description:
"Work Order Type" Identifies the type of work order being completed by the user. The work order type is selected from the drop-down when the user is adding a new work order.
"Planned Duration" How long the work order should last (e.g., one hour, three hours, etc.).
"Work Order Description" The description of the work order. This will also serve as the work order's title.
"Appointment Status" This status reflects the progress or stage of the work order appointment, such as whether it is scheduled, in progress, completed, canceled, or rescheduled.

Work Order Details (With Visits)

To add visits to the recurrent service, select the "Add Custom Work Order Details" option from the Individual Actions button. Or if you would like to add subsequent visits and you are on the "Work Order Details" (With Visits) panel, click on the Plus Sign.

Either option will open the Add Work Order Details pop-up window, where you can specify the visit, you wish to add along with its description:

Once a visit is added, the "Work Order Parts and Services" panel will be hidden, and the "Work Order Details" panel data and columns change:

Deleting the visit will revert the "Work Order Details" (with visits) panel back to the standard "Work Order Details" (without visits) panel view.

The information found in the "Work Order Details" (with visits) panel are described below:

Name:Description:
"Visit Data" Lists the visit number and data of the respective work order visit.
"Work Order Type" Identifies the type of work order being completed by the user. The work order type is selected from the drop-down when the user is adding a new work order.
"Category" Specifies which timeframe contract (e.g., yearly, quarterly, etc.) that the recurrent service falls under.
"Planned Duration" How long the work order should last (e.g., one hour, three hours, etc.).
"Assigned To" The user assigned to the work order.
"Actions" Will allow you to view, edit, repeat or remove the respective visit. By repeating the appointment visit, you can duplicate the details from "Visit 1" for all subsequent visits, continuing until the end of the year.

However, you can still access the parts and services for individual visits by clicking the Paper icon of the selected visit, which will open the Visit Details pop-up window. This feature allows you to specify the different parts and services required for each visit to the work order site:

From the Visit Details pop-up window, you will be able to perform the following actions:

  1. The Pencil icon and the Individual Actions button will allow you to edit the Visit Details pop-up window.

  2. You can also use the Add Part icon, Add Service icon, or the secondary Individual Actions button to add additional parts or services to the visit.

The information found in the Visit Details pop-up window are described below:

Name:Description:
"Work Order Type" Identifies the type of work order being completed by the user. The work order type is selected from the drop-down when the user is adding a new work order.
"Planned Duration" How long the work order should last (e.g., one hour, three hours, etc.).
"Work Order Description" The description of the work order. This will also serve as the work order's title.
"Assigned To" The user assigned to the work order.
"Assigned To" The user assigned to the work order.

"Visit Description" The description of the work order visit.

"Quantity" How much of a part is needed for the invoice. In regard to services, this value refers to how many hours the user has worked and is charging the customer for.
"Discount" The discount of an individual part or service.
"Discount Percentage" The discount percentage of an individual part or service.
"Sales Tax" The calculated sales tax.
"Total" The total amount of the invoice which calculates the price, quantity, and discount.
"Actions" Will allow you to edit or remove the respective part or service.

History

The "History" panel will contain the historical data of the recurrent service (e.g., when the recurrent service was published, when the recurrent service was edited, and more). The data in this box will automatically generate when a specified event or status is reached.


Customer

The "Customers" panel will list the details of the customer receiving the recurrent service. This information includes the customer's name, the customer's address, and the customer's contact information.

By clicking on the customer's name, the View Customer pop-up window will open. If you click on the customer's address, a new tab directing you to Google Maps will open.

If you click on the Pencil icon next to the "Customer" or "Location" fields, you will be able to edit the recurrent service. If you click on the Pencil icon next to the "Contact" field, you can edit the contact.


Reminder

The "Reminders" panel will contain the scheduled reminders for the selected user(s). To add a reminder, click the Plus Sign in the upper right corner. To edit a reminder, click on the Pencil icon or if you would like to delete a reminder, click on the Trash Can icon.

When adding or editing a reminder, you can specify both the date for sending the reminder and the priority level of the task that the user(s) is being reminded of.


Work Order Parts and Services

The "Work Order Parts and Services" panel will list the parts and services that are associated with the work order for the recurrent service.

Please note that once a visit is added from the "Work Order Details" panel, the "Work Order Parts and Services" panel will be hidden, and the "Work Order Details" panel data and columns will change. To update the parts and services for a work order visit please see the Work Order Details (With Visits) subsection.

You can use the Add Part icon, the Add Service icon, or the secondary Individual Actions button to add additional parts or services to the recurrent service work order.

The terms found in the "Work Order Parts and Services" panel are defined below:

Name:Description:
"Name" The name of the part or service (this will also include the SKU information if available).
"Price" The list price of the part or service; this is the price that the customer will be charged.
"Quantity" How much of a part is needed for the invoice. In regard to services, this value refers to how many hours the user has worked and is charging the customer for.
"Discount" The discount of an individual part or service.
"Discount Percentage" The discount percentage of an individual part or service.
"Sales Tax" The calculated sales tax.
"Total" The total amount of the invoice which calculates the price, quantity, and discount.
"Actions" Will allow you to edit or remove the respective part or service.

Notes

The "Notes" panel will contain any additional notes related to the recurrent service. To add a note, click the Plus Sign in the upper right corner. To edit a note, click on the Pencil icon or if you would like to delete a note, click on the Trash Can icon.


Invoicing

The "Invoicing" panel will list both invoices and recurrent invoices associated with the recurrent service. For more information about invoices, please see the Invoices & Billing Overview section.

You can use the Add Invoice icon, the Add Recurrent Invoice icon, or the secondary Individual Actions button to add invoices or recurrent invoices to the recurrent service work order.

The terms found in the "Invoicing" panel are defined below:

Name:Description:
"Invoice ID" The ID number of the invoice.
"Status" The status of the invoice (i.e. "Open," "Checked Out," "Service Completed," "Customer Invoiced," "Paid," and "Cancelled").
"Cost" The cost of the invoice; this value represents the amount that your company has to spend on procuring the parts or services.
"Total" The total amount of the invoice which calculates the price, quantity, and discount.
"Invoice Actions" The "Invoice Actions" can only be applied to a standard invoice. With these actions, you will be able to view, edit, or export the invoice into a PDF document.
"Recurrent Invoice Actions" The "Recurrent Invoice Actions" can only be applied to a recurrent invoice. With these actions, you will be able to view or edit the recurrent invoice.

Work Order Assets

The "Work Order Assets" panel will list assets associated with the recurrent service. For more information about assets, please see the Assets Overview section.

You can add a new asset by clicking on the Plus Sign button.

The terms found in the "Work Order Assets" panel are defined below:

Name:Description:
"Asset Name" The name of the asset.
"Asset Tag" The asset tag.
"Last Service Date" The last service date for the asset.
"Asset Status" The status of the asset; this status is dependent on the last service date.
"Actions Allows you to view or remove the selected asset.
Work Orders Tab

The "Work Orders" tab will display all the work orders associated with the selected recurrent service.

From this tab you can manually add a new recurrent service for the specified customer by clicking on the Plus Sign:

On this tab, you can open the View Work Order pop-up window, repeat the work order for another date, and more. You will also be able to perform the following actions on the recurrent service's work order:

  1. By right-clicking you will bring up the right-click actions. These actions are identical to the Individual Actions and will allow you to view, edit, repeat, or delete the work order.

  2. The Paper icon will open the View Work Order pop-up window.

  3. The Individual Actions (the three dots next to the Paper icon) are identical to the right-click actions and will allow you to view, edit, repeat, or delete the work order.

  4. The Plus Sign button will allow you to manually add a new work order.

All the terms from the "Work Orders" tab are defined below:

Name:Description:
"ID" The identification number for the work order.
"Status" The status of the work order.
"Description" A description of the recurrent service.
"Date" The date and time that the recurrent service is scheduled for.
"Assigned To" The user in charge of the performing the job for the work order.
"Actions" Allows you to view, edit, repeat, and delete the selected work order.
Billing Tab

The "Billing" tab will list all of the standard invoices associated with the recurrent services.

If you would like to view the recurrent invoices associated with the recurrent service, please see the "Invoicing" panel from the "Summary" tab.

From the "Billing" tab you will be able add additional invoices to the recurrent service. You will be able to view, edit, or export the invoice into a PDF document. You will also be able to perform the following actions on the recurrent service's invoice:

  1. By right-clicking you will bring up the right-click actions. These actions are identical to the Individual Actions and will allow you to view or edit the invoice.

  2. The PDF icon will allow you to export the invoice into a PDF document.

  3. The Individual Actions (the three dots next to the PDF icon) are identical to the right-click actions and will allow you to view or edit the invoice.

  4. The Plus Sign button will allow you to manually add a new work order.

History Tab

The "History" tab lists the historically recorded details of the recurrent service:


Created and Last Modified Date

The "Created and Last Modified Date" will list the date that the recurrent service was generated in the system as well as the date the recurrent service information was last modified.


Status Events

The "Status Events" panel will list the duration that the recurrent service has been in a custom status.


History

The "History" panel will display the history details of the recurrent service, including when the recurrent service was last published and when work orders were generated.

"Date" The date an activity occurred on the recurrent service.
"Description" The description of the event.
"User" The user who initiated the event.
