Edit Work Order
Overview

Empower your workflow with MobiWork's dynamic capabilities! Effortlessly fine-tune the details of any work order already in the system by simply accessing the "Edit" work order feature. You can also edit the status, the assigned users, and more, all through the Work Orders feature.

Note: Please note that you cannot update the work order to modify the assigned customer or work order type. In such cases, you will need to create a new work order with the correct parameters.

How to Access the Page

There are several ways you can edit a work order within MobiWork. The subsections below will highlight some different methods on how to edit a work order.



Work Order List Page

The most direct way to update a work order is through the Work Order "List" tab. For more information on how to access this page, please see the Work Order List section for more information.

Once, you are on the "List" tab, there are several different ways you can edit a work order:

  1. Click on the work order ID to open the View Work Order pop-up window. Then click on the Individual Actions button and from the drop-down select either the "Edit" or "Edit Status" option:
    • Please note that there are several ways that you can access the View Work Order pop-up window. Please see the View Work Order page for the different ways that you can open the View Work Order pop-up window.

  2. Right-click on a work order to open the right-click options. (The options that are displayed when you right-click on a work order are also available when you select the Individual Actions button).

  3. Select the More Actions button from the "Global Actions" section. Please note that this option will give you the ability to edit multiple work orders at once.

  4. Click on the Individual Actions button (the three vertical dots) from the "Actions" column. (The options that are displayed from the Individual Actions button are the same as when you right-click on a work order).



Customers

To see how to access the View Customer pop-up window, please see the View Customer page:

  1. Once you open the View Customer pop-up window select the "Work Order" tab. On the "Work Order" tab click on the Individual Actions button or right-click on the desired work order, and from the drop-down select the "Edit" option:
  2. The Edit Work Order pop-up window will then appear.



Schedules

When you navigate to the Schedules feature tabs, there are two different ways you can edit a work order. For more information on how to access the Schedules feature tabs, please see the Schedule List page:

  1. Right-click on the desired work order and from the drop-down that appears, select the "Edit" option.

  2. From the More Actions drop-down, select the "Edit Selected Work Order Status" option. Please be aware that selecting this option grants you the ability to simultaneously edit the status of multiple work orders.

Edit an Individual Work Order

The option to edit a work order is different from editing the status; with the "Edit" option you can update more fields (e.g., not only the status but also the description, the External ID, etc.). Editing the status will only change the status of a selected work order.

There are several different ways to edit an individual work order. The section, How to Access the Page, will illustrate how to access the Edit Work Order pop-up window:

Edit a Work Order Pop-up Window

Regardless of how you choose to edit an individual work order, the Edit Work Order pop-up window will then appear:

The terms found in the Edit Work Order pop-up window are defined below:

Name:Description:
"Status" The status of the work order (i.e., "Open," "Dispatched," "In Transit," "On Site," "Need Follow Up," "Waiting for Parts," and "Completed").
"Location" The site of the work order execution.
"Description" The description and name of the work order.
"Planned Duration" How long the work order should last (e.g., one hour, three hours, etc.).
"External ID" The external number (outside of MobiWork) of the work order.
"SLA" The SLA associated with the work order.
"Work Order Route" This field is for the "Dispatch Selected Work Orders Using Route Order" option. In this field you can use the drop-down to indicate the route name and the order that the work order is on the route:
Edit Individual Work Order Status

Instead of editing the entire work order, MobiWork gives you the option to update only the status. There are several different ways to edit the status for an individual work order; the section, How to Access the Page, will illustrate how to navigate to the methods listed below:

You can modify the status of an individual work order using the View Work Order pop-up window. Or you can also simply click on the Individual Actions button within the pop-up window, and choose the "Edit Status" option from the drop-down menu that appears:

Next, the Edit Custom Status pop-up window will open. Here, you can select the new status for the work orders, followed by clicking the Save button to confirm your changes:

Edit Multiple Work Orders

MobiWork allows you to edit multiple work orders at once, thus saving you time from having to update work orders one at a time. You can update multiple work orders in two ways: through the More Actions button or through Excel.



With More Actions

You can access the More Actions button through either the Work Order "List" tab or through the Schedule feature page. For more information on how to access these pages, please see the Work Order List page or the Schedule List page:

  1. Check off the desired work orders you would like to edit; if you would like to edit all your work orders you can click on the topmost checkbox (Multiple Selection Area) located in the Work Order "List" column:

  2. Click on the More Actions button and from the drop-down select the "Edit Selected Work Orders Status" option:

  3. Next, the Edit Custom Status pop-up window will open. Here, you can select the new status for the work orders, followed by clicking the Save button to confirm your changes:


From the Schedule Feature

The Schedules feature tab will also allow you to edit the user-dispatch status of the work order (e.g., Open, Dispatched, In Transit, On Site, etc.):

  1. From the Schedules feature, click on the More Actions button and select the "Edit Selected Work Orders Status" option from the drop-down:

  2. Next, the Edit Multiple Work Orders pop-up window will open. Here, you can select the new status for the work orders, followed by clicking the Save button to confirm your changes:

  3. Note: While the pop-up windows may appear different, both the Edit Multiple Work Orders and Edit Custom Status windows will contain identical work order status data.



With Excel

You can also edit work orders in bulk through Excel; this process will enable you to update more than just the status of the work orders:

  1. First, you would need to select the desired work orders and use the "Export to Excel" option. For more information on how to export work orders please see the Import and Export Work Orders page:

  2. Once you have the exported file, you can make the changes directly to the Excel document.

  3. Once you are done updating your work orders, you can import the Excel file back into MobiWork. For more information on how to import work orders, please see the Import and Export Work Orders page.

Edit Work Order Summary

You can also update the customer profile attached to the work order, location, contacts, and tags from the "Summary" panel of the select work order. To edit the desired data, simply click on the respective Pencil icon. The following subsections will demonstrate how to edit the aforementioned information:


Edit Customer

You can edit the customer profile that the work order is assigned to by clicking on the Pencil icon next to the "Customer Name" field. This will bring you to the Edit Customer pop-up window. For more information about how to edit the customer, please see the Edit Customer page.

Please note that you are able to modify details within the customer profile, but you cannot switch the work order to a different assigned customer or company. If you require a change in the assigned customer, you will need to create a new work order with the correct assigned customer.


Edit Location

You can edit the location where the work order is assigned by clicking on the Individual Actions button (the three dots) next to the "Location" field. From the drop-down that appears, click on the "Edit Address" option. This will open the Edit Work Order pop-up window; this pop-up window will allow you to update the location name, address, city, country, state, and zip code for the designated customer:

Please note that modifying the location here will result in a global update, affecting the location across various areas where the customer's location is utilized, including existing work orders.


Edit Contacts

You can edit the customer contact by clicking on the Individual Actions button and selecting the "Edit" option. This will bring you to the Edit Contact pop-up window. For more information about how to edit the customer contact, please see the View Customer page.

The customer contact is connected to the customer profile. Thus, please note that while you are able to modify details within the contact profile, but you cannot switch the work order to a different contact. If you require a change in the assigned customer contact, you will need to create a new work order with the correct contact and assigned customer.


Edit Tags

You can also edit the tags associated with the work order. For more information on how to edit tags, please see the Work Orders Settings page.

Edit Dispatched User and Time

Within the View Work Order pop-up window, you will be able to update the dispatched user, the time the work order is set to take place, and the planned duration of the work order.

The following subsections will highlight how to access these actions.


Edit User and Appointment Time

To edit the dispatched user and time, click on the respective Pencil icon:

This will open the Dispatch Work Order pop-up window. In this window, you will be able to update the assigned user, the date, and time of the work order:

You can also update the planned duration and if the work order repeats. For more information about dispatching, please see the Dispatching page.


Edit Lead User

If multiple users are assigned to a work order, you can designate the lead user responsible for overseeing the work order through the View Work Order pop-up window. Please see the View Work Order page for more information on how to access the View Work Order pop-up window.

In the "Scheduling & Dispatching" panel, you can access the "Set Crew Leader Role" option by right-clicking or accessing the drop-down menu from the Individual Actions button:

The lead user will have a Person icon next to their name.

To remove the lead role from a user, select "Clear Crew Leader Role" option by right-clicking or accessing the drop-down menu from the Individual Actions button. The role will then automatically be removed from the user.

Note: The designated lead user for a work order has the ability to manage time tracking for other users on the team. For more details on crew time tracking, please refer to the Crew Time Tracking page.


Edit Duration Only

If you wish to make changes solely to the duration of a work order without updating the user or scheduled date and time, you can select the "Edit Duration Only" option.

Within the "Scheduling & Dispatching" panel, you can access this option by right-clicking or using the drop-down menu from the Individual Actions button:

Upon selecting "Edit Duration Only," the Dispatch Work Order pop-up window will appear, enabling you to adjust the duration of the work order:

The left-most drop-down menu corresponds to the hour, while the right-most indicates the minutes.
